Increase Daycare State Reporting Efficiency with Flash Drives

Any daycare provider knows that in order to properly run their business and adhere to strict state laws, they must maintain detailed daily records. Many states provide the daycare provider with pages of paperwork and a notebook to fill out.

The daycare provider must sit and write down information about each child. This information must include the child’s full name, any allergies, their pediatrician, contact numbers, and any other pertinent information. They must then document the hours that they had the child and the price that was paid for services. Writing down this information can take hours. It ends up taking up valuable room in a drawer somewhere until a random inspection occurs. Some daycare providers get so burdened with the paperwork that they fall behind and are in trouble in the event of an inspection.

Rather than providing notebooks and pages of paperwork, the state could provide each daycare provider with a flash drive. The flash drive could be preloaded with charts that allow the worker to simply plug in their flash drive at the end of the day and type in the information. There can also be other links that can include areas to keep all of the child’s information. By arranging the information in an organized manner, daycare providers know exactly where to look when searching for their parent’s contact number. All of the information that the daycare provider needs would be right at their fingertips.

If states would provide the flash drives rather than papers, they would probably see an increase in daycare providers’ documentation. The documentation would be organized and clearly legible. When it comes time for an inspection, the state worker can plug the providers flash drive into their own computer and check to be sure all information is up to date. There would be no more looking through piles of paper work just to be sure that each kid’s information has been recorded.
